Privacy Policy

Who to contact

This policy explains how the Female Driving Instructors website handles information when you browse, enquire or book a lesson. Contact our booking office at roadvibes21@gmail.com about privacy, access, corrections or complaints.

Information collected

When you book, we collect your name, email address, phone number, pickup address or meeting point, selected instructor, service, suburb, test centre where relevant, appointment time, price, duration and any lesson notes you provide. We also record your booking reference, booking status and when you accepted the booking policy. Please avoid including unnecessary sensitive information in lesson notes.

The website and hosting service may record technical information such as IP addresses, browser details, request times and security or error logs to operate and protect the site. No payment-card information is collected by this booking website.

How booking information is used

We use your details to arrange lessons, manage availability and changes, contact you about your booking, send confirmations and cancellations, and investigate delivery or booking problems. Booking details are available to authorised website administrators and are emailed to you, your selected instructor and the booking office.

Hosting, email and calendar services

The website is hosted by Hostinger. Booking emails are sent through Google Gmail using the office account roadvibes21@gmail.com and the FluentSMTP delivery plugin. These emails include the booking details you provide. Email delivery logs are kept in WordPress to help diagnose failures and are configured for automatic deletion after 14 days; this does not delete the separate booking record or copies held in email inboxes.

Google Calendar receives a private reservation event containing the instructor’s name, booking reference and reserved time, including the travel buffer. The calendar event does not contain your name, email, phone number, pickup address or lesson notes. Cancelling through the website removes its calendar reservation.

Hostinger and Google may process or store information outside Australia, including in the United States and other locations where they operate. The locations used depend on their service infrastructure. See Hostinger’s Privacy Policy and Google’s Privacy Policy for their practices. These providers process information needed to supply hosting and communication services.

Cookies and external links

WordPress uses cookies for login sessions and administration. You do not need a customer account to make a booking. You can control cookies in your browser; blocking them may affect some website functions. If you follow a link to another website, that website’s own privacy policy applies.

Storage and security

Booking records remain in the website’s administrative system after cancellation; cancellation is not a request to erase personal information. There is currently no automatic expiry for booking records. Contact the office to request deletion or ask about records held for your booking. Records may need to be retained for accounting, dispute resolution or other applicable legal requirements. Email copies and hosting backups are separate from the live booking record.

The website uses HTTPS and restricts administrative access. Google connection credentials are stored encrypted in WordPress. Your private booking management link allows access to your booking and, before the change deadline, cancellation or rescheduling. Keep it confidential and contact us if it is shared unintentionally.

Access, corrections and complaints

Email roadvibes21@gmail.com to request access to or correction of your information, request deletion, or raise a privacy concern. Include your booking reference if available, but do not send passwords or unnecessary identity documents. We may need to confirm your identity before disclosing or changing records. We will review your request and explain any information that must be retained.

If you remain concerned about how your information is handled, the Office of the Australian Information Commissioner provides guidance on privacy complaints and whether it can assist.
